Loyola University Maryland is seeking a Director of External Conferencing & Events. This position will provide administrative management of and annual coordination of University conferencing, retreats, camps, and external events. The individual is responsible for directing external marketing and rental of facilities; and coordinating planning, scheduling and logistics for summer camps, conferences, workshops and events. Coordination with the Event Services Department and, at times, third-party vendors, for scheduling and event support is required to ensure the successful coordination of events including setup and operation of furniture, tarps, stages, audio, video, stage sections, lighting equipment, and other technical equipment. The position may also be asked to direct student staff, and third-party contractors. This position requires great flexibility including the ability to support events on weekends, holidays, and evenings. These services provide support to Loyola's external community thus generating a high degree of visibility for the institution.
Job duties include: Marketing efforts to include development and implementation of an effective marketing strategy (using social media; updating websites; developing marketing materials, etc.) for each of the areas identified above to increase the level of conferencing activity at each campus location. Develop relationships with internal and external campus community to successfully promote the University’s facilities and programs. Oversee the collective coordination of all event information and resources. Work to synchronize the needs of the group planning the event and staff handling pre and post events. Coordination with University Event Services Department and third-party contractors as needed to ensure the scheduling, setup, support, and billing for all events. This person is the point of contact for all event details. Comply with the University Contract policy in bidding and negotiating any third party contracts. Review contractor obligations and ensure contracted services are appropriately fulfilled for University clients. Generates contracts and insurance requirements for University clients; monitors compliance with policies for conferences and events. Work with Event Services and Catering to develop budgets and pricing for event sponsors.
Three to five years experience in an administrative capacity or equivalent experience.
Knowledge of marketing strategies and implementation.
Must have a valid driver's license and be able to successfully complete Loyola's driver's clearance process.
