Responsible for the day-to-day operations of the department. 2. Recruits, trains, and supervises conference staff. 3. Demonstrates excellent customer service skills as the liaison to external and internal customers, providing information about available facilities, services, and fees. 4. Develops appropriate pricing strategies based on market information and guidance from the Director of Conference Services & Camps and Fine Arts (interim the VP for Finance). 5. Solicits feedback from both internal and external clients to create best practices with other service-providing departments on campus. Addresses all complaints with clients and follows through to resolution. 6. Executes all tasks required to ensure the efficient operation of the conference services program and to maximize the revenue-generating utilization of College facilities. 7. Using established rental and pricing guidelines, maximizes efficient usage of College rental facilities and equipment. 8. Negotiates and prepares contracts for use of College's rental facilities and assures that contract terms/stipulations are honored by all parties. Responsible for all elements of customer billing. 9. Manages vendors to procure goods and services required by conference groups not readily available through the College. 10. Coordinates scheduling with the registrar's office and fine arts. 11. Assist in any needed area in the department to ensure all clients have an excellent experience at North Central College. 12. All members of the Department of Conference Services & Camps function as one unit and have the ability to assist and substitute in the absence of any given team member. 13. Perform job-related duties as assigned. 14. Able to attend activities, programs, conferences and special events, at alternative hours during the evenings and weekends. 15. Ability to deal with several tasks and situations concurrently, including those occurring unexpectedly, and must be dealt with immediately, usually without direct supervision. This requires an individual who is self-directed, well organized, detail-oriented, flexible, and able to effectively prioritize tasks. OTHER RESPONSIBILITIES 1. Support the College's mission, vision and values, and contribute to the advancement of the College's Strategic Plan. 2. Demonstrate a strong commitment to continuous quality improvement. 3. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion. Education/Training: Bachelor's degree required. Master's in business degree strongly preferred. Experience: A minimum of 5 years professional experience working in a fast-paced, high-profile environment, experience in preparing and understanding accounting reports. Licenses or Certifications: Valid Illinois driver's license required. Position Summary: The Office of Conference Services & Camps manages facility rentals, residential and non-residential conferences, camps, and weddings. The Associate Director of Conference Services is responsible for the day-to-day operations and coordination of College conferences and external events (including athletic and academic camps). The individual is responsible for directing external marketing and rental of facilities and coordinating scheduling and logistics for both external and internal summer camps, conferences, workshops and events. The person in this position will also build and maintain a mutually beneficial relationship between the College and local community organizations, agencies, and businesses.
